NightOps is overnight-operations assurance software provided to building and facilities management companies (“your employer”). It verifies that overnight staff are on shift, completing their duties, walking their patrol routes, responding to periodic check-ins, and able to raise a duress alarm. This policy covers the NightOps mobile app and the NightOps service.
NightOps is provided by APTAA PTY LTD (trading as Codeteki Digital Services), Tarneit, Victoria, Australia.
What we collect
- Account details — your name, work email, and optional phone number. These are created by your employer, not by you.
- Shift activity you generate in the app — starting and ending shifts, duty completions, checkpoint scans, active-check responses, incident reports, and shift handovers.
- Location — only when you trigger a panic/SOS alarm, or when you choose to attach your location to an incident report. It is captured once, at that moment, and attached to that one report so responders can find you. The app never accesses your location in the background.
- Photos — only a photo you choose to attach to an incident report.
- Push notification token — a device identifier issued by Apple or Google’s push services, used solely to deliver buzz and SOS alarms to your device.
We do not collect analytics or advertising identifiers, and the app contains no advertising or third-party tracking.
How we use it
- To operate the service for your employer: verifying overnight coverage, delivering buzz and SOS alarms, and producing shift reports and audit logs.
- To notify managers and directors when an expected action does not happen (a missed check, an unattended shift, a missed buzz) or when an alarm is raised.
We do not use your data for advertising, and we do not sell it.
Who can see it
- Managers and directors within your employer’s own NightOps workspace. Each company’s data is isolated from every other company’s.
- Sub-processors that run the service on our behalf, under contract and solely to provide it: cloud hosting (DigitalOcean), push notification delivery (Apple Push Notification service, Firebase Cloud Messaging), email delivery, and — only for the AI features described below — OpenAI.
AI features
NightOps includes a small number of optional AI-assisted features: an overnight summary, a portfolio “Ask” search, an AI-drafted shift handover, and an in-app help assistant. These are each triggered only when you choose to use them (opening a summary, asking a question, or tapping “Draft with AI”) — never automatically or in the background.
When you use one of these features, the relevant operational data needed to answer is sent to our AI provider, OpenAI, to generate the response. Depending on the feature, this can include: audit log and incident descriptions, duty completion and incident notes for your own shift, shift response patterns, building and staff names for buildings you can already see in the app, and the text you type into the question or help box. OpenAI processes this data to generate the response and does not use it to train its models. We never send your password, payment details, or precise location to OpenAI.
The first time you use any AI feature, the app shows you this same explanation and asks for your agreement before anything is sent. You can decline and still use every non-AI part of NightOps.
Security
All data is encrypted in transit (HTTPS/TLS). Access to production systems is restricted to authorised operators.
Retention & your rights
Data is retained for as long as your employer’s NightOps account is active, then deleted or anonymised. To access, correct, or delete your data, contact your employer’s NightOps administrator, or email us at the address below and we will coordinate with them.
Children
NightOps is a workplace tool intended for adults (18+). It is not directed to children and we do not knowingly collect data from them.
Changes
If we change this policy we will update the date above and, for material changes, notify employers.
